This Privacy Policy explains how personal information is collected, used, and protected when you use the website trueessence.space and related services operated by James Godwin (“we”, “us”, or “our”).

1. Information we collect

When you use our website or services, we may collect the following information:

• Personal details such as your name and email address when you create an account, subscribe, or contact us
• Account information related to your use of the True Essence Sanctuary
• Written reflections or content you choose to enter into private reflection spaces
• Payment-related information necessary to process subscriptions or purchases
• Information about how you use the website and Sanctuary, such as pages visited, buttons tapped, the website or campaign link that brought you here, browser and device details, approximate location, and random identifiers stored in your browser, as described in section 7

Payment information is processed securely by Paddle as merchant of record. We do not store full payment card details on our servers.

2. How your information is used

We use personal information to:

• Provide access to digital subscriptions and services
• Manage user accounts and subscriptions
• Process payments and billing
• Communicate with you regarding your account or service updates
• Maintain the security and integrity of the platform
• Improve the quality and functionality of our services
• Understand how people discover, begin, and continue with True Essence, so the website, practice, and pricing can become clearer

We do not sell, rent, or trade personal data to third parties.

3. Payment processing

Payments for subscriptions and purchases made through trueessence.space are processed by Paddle.com Market Ltd. (“Paddle”). Paddle is the merchant of record for those transactions and handles payment processing, applicable tax, and billing-related customer support.

Paddle collects and processes payment information in accordance with Paddle’s privacy and security policies. We receive confirmation of payment and relevant billing details required to manage access to services. We do not store full payment card details on our servers.

4. Data storage and security

We take reasonable technical and organisational measures to protect personal information from unauthorised access, loss, misuse, or disclosure.

User-written reflections within the Sanctuary are private and visible only to the individual user. They are not shared publicly.

While we take care to safeguard information, no method of online transmission or electronic storage is completely secure.

5. Communications

If you provide your email address, we may use it to communicate with you about:

• Account-related matters
• Subscription status
• Important service updates
• Practice reminders, as described below

Practice reminder emails are on by default for new accounts. They are gentle, non-promotional nudges to return to your practice, sent when your account has been inactive for a few days.

To decide whether and when to send a practice reminder, we use your account activity: account creation date, practice day visits, journal entry timestamps, Sage interaction timestamps, whether you have visited the subscription page, and your saved time zone (so reminders arrive in your morning). We keep a record of each reminder sent to prevent duplicate reminders and support auditability.

You can turn practice reminders off at any time from your Profile, or with the one-click unsubscribe link included in every reminder email. Turning off practice reminders does not stop essential account, password, billing, or service emails.

You may opt out of non-essential communications at any time.

6. Data retention

We retain personal information only for as long as necessary to provide services, meet legal or operational requirements, or until an account is closed.

You may request deletion of your account and associated personal data, subject to any legal or administrative obligations.

7. Analytics, session replay, and third-party services

We use PostHog to understand how people find and use True Essence, so we can make it easier to begin and to return. On trueessence.space, PostHog records page visits, taps and clicks, scrolling, the website or campaign link that referred you, browser and device details, approximate location derived from your network address, page performance, and errors. It stores random identifiers in cookies or similar browser storage so that visits can be counted and connected over time.

When you create an account or sign in, this activity is linked to your account, including earlier visits from the same browser, and PostHog receives your account identifier and email address. We also send PostHog account events such as signing up, completing a practice day, saving a reflection, receiving a Sage response, and starting or completing a purchase. These events record that something happened, not what you wrote.

We use PostHog session replay to see how pages are used, for example where someone hesitates or cannot find what they need. A replay reconstructs the page layout, scrolling, pointer movement, and taps. Everything typed into forms is hidden, and your written reflections, your Sage conversations, and the account details on your Profile page are hidden in replays.

The text of your reflections and Sage conversations is never sent to PostHog. When you invite a response from the Sage, the text you send to the Sage, your earlier messages in that conversation, and the day’s teaching are sent to OpenAI to generate the reply.

You can limit website analytics through your browser’s cookie, storage, or tracking settings, or with a content blocker. Doing so does not stop you from using True Essence.

We also rely on other providers to run the service, including Hetzner for hosting, Amazon Web Services for backups, Paddle for payments, OpenAI for Sage replies, and Resend for email delivery. These providers process data under their own privacy terms, may process it outside your country, and are required to handle information responsibly.

8. Your rights

You may request access to, correction of, or deletion of personal information held about you by contacting us directly.

9. Changes to this policy

This Privacy Policy may be updated from time to time. Any changes will be reflected on this page.
